How-to Add Attendees to a New Deposition

This article will explain how to add attendees to a newly created deposition

Quick Take: The fastest way to Add Attendees is to Create and send them a Shared Link. When they Join the Deposition with the Shared Link they are automatically added to the Attendee List on the Deposition Details Page. The Deposition Room browser URL may also be used to join the deposition

If you “Deactivate” a Shared Link anyone who uses the previous link will be unable to join the Deposition. When you Enable the Shared Link it generates a Unique Link every time.

  1. Once you have created a new deposition, you will be brought to the Deposition Details page

     

  2. To create a Shared Link to distribute press the Green Link Button and then Copy the Link to your Clipboard

    1. If the Witness uses the Shared Link to Join the Deposition once they are present as the Host you must Edit their Attendee and reassign them from a Counsel to a Witness. By default, all Attendees joining with the Shared Link are Counsel Roles with Video Enabled. Please See Inviting a Witness With a Shared Link

    2. When the Shared link has been enabled, the deposition room browser URL may also be used to copy and share with other users to join the deposition

    3. Attendees who use the shared link have the ability to join with a guest account

      1. Guest account users will not have the ability to share exhibits without an account

  3. Click on the “Add Attendee” button to add participants to the deposition

     

  4. This will allow you to invite attendees to the deposition by entering each person’s data including Name, Email, and Role

     

    1. Attendees can be assigned as either a Witness, Co-Host, or a Counsel role

      1. Make sure that all attendees' email addresses are accurate or they will not be able to access the deposition

    2. Once you input the attendee data, select “Save”, and the system will send an automated email invitation directly to that participant for the new deposition

  5. A user who has not been invited to a deposition can use the Request to Join Feature

  6. The Host or Co-Host will have the ability to enable or disable the recording for all attendees in the deposition

    1. You can then decide which Counsel participants need to be recorded in the deposition using the check-boxes below

       

  7. Repeat Steps 2-4 until all attendees are invited to the deposition 

  8. The color of the attendee icon to the left of each participant's name indicates who has created an account and who has not

    1. If an attendee has not received an email invitation, you can resend the invitation by selecting the blue ‘envelope’ to the right of the attendee's name



A maximum of 50 users are allowed to join the deposition
